Marketing - Associate Vice President (AVP)
  • Job Title: Associate Vice President of Marketing

Overview: 

The PMI Phoenix Chapter Marketing Team is responsible for supporting the Chapter’s vision and strategic goals through a variety of communication channels, including Chapter Website, Publications, Newsletter, Weekly Bulletin, Photography and Social Media outlets.  

Roles and Responsibilities: 

The AVP of Marketing will be responsible for managing all designated Marketing SubTeams as directed by the VP Marketing.

This includes but is not limited to the following:

  • Write promotional copy supporting team.
  • Distribute promotional copy and press releases as needed.
  • Market Chapter within the Phoenix community by attending events and being a PR point of contact.
  • Learn about PMI Phoenix Chapter to route/ manage queries to appropriate other teams.
  • Provides monthly status report on Website, SharePoint, and Security on the 1st Week of each month in SharePoint.
  • Recruits, interviews, and on-boards new members to fill vacant team volunteer positions.
  • De-boards volunteers from team when necessary.
  • Provdes feedback as necessary to team and holds at least 1 monthly meeting (e.g. as a group or individually) with team leaders.
  • Acts as delegate for VP of Marketing as assigned.
  • Other duties as assigned.

    Job Description

    Overview: 

    The PMI Phoenix Chapter External Relations Team supports the strategies and directives of the chapter by supporting The Board of Directors in outreach endeavors. The primary areas of outreach include Military, Academic, Corporate, Sponsor, and Community sectors. 

    The Military Outreach team promotes Project Management as a profession within the military and veteran communities. Our goal is to champion the development of PM knowledge and skills by facilitation PM programs in partnership with our military services, veteran services, and other institutions that aid those that served in the armed forces.

    The External Relations team is looking for a dynamic volunteer to help manage and coordinate all military outreach activities for the PMI Phoenix Chapter, leading and directing the teams responsible for related Education & Career opportunities, Golf & Events, and also our Military Relationship Management.

    The AVP of Military Outreach reports to the VP of External Relations within the umbrella of the External Relations team.

     

    Roles and Responsibilities: 

    The AVP of Military Outreach will be responsible for the following:  

    Develop and implement a Military & Veteran Outreach strategy

    Act as sponsor or project manager on projects related to that strategy

    Recruit and retain volunteers within the Military Outreach team

    Manage teams to guide related Education & Career opportunities, Golf & Events, and also our Military Relationship Management

    Schedule and facilitate meetings on a regular cadence to promote teambuilding, problem-solving, and to ensure work is accomplished

    Attend PMI, military, and veteran events to promote the project management profession and PMI

    Build powerpoints and present on progress and opportunities to the Board of Directors

Professional Development - Assistant Vice President
  • Job Title: Assistant Vice President – Professional Development

Overview: 

 The PMI Phoenix Chapter Professional DevelopmentTeam supports the directives and goals of the chapter by supporting and coordinating Project Management educational opportunities, Project Management Certification Exam Preparation Classes and Workshops for all of all types of PMI Certifications / Discipline areas.  The AVP Professional Development works with the VP of Professional Development to support Professional Development related departmental teams. 

Roles and Responsibilities: 

  • Collection and collation of annual budget entries; monthly determines and reports variances to budget and reports results to the VP-Professional Development as well as via Status
  • Report Updates
  • Distribute and collect responses to team communications including but not limited to submissions from Vendors, emails from various sources that are delivered via automatic forwarding from VP and AVP chapter web addresses
  • In the absence of the VP attends or conducts conference calls as required
  • Ensures all Professional Development teams provide status reports monthly via the appropriate tool(s) required by the Chapter
  • Undertakes any other measures needed to facilitate the work of the team, its annual mission and its vision
  • Actively engages with other Chapter teams in order to meet goals of the department.  This includes but is not limited to Communications, External Relations and Program teams
  • Maintains an accurate, current Professional Development team master list; obtains and reviews updates from Directors and Managers
  • Proactively responds to inquiries and requests for assistance from team members
  • Actively participates in Project Management Week annually, including the scheduling of free or low cost PDU opportunities, partnership with the Operations and External Relations teams
  • Other position-related duties as assigned

Requirements:

  • Self-Starter -  Ability and desire to work and lead independently with minimal supervision, proven initiative skills
  • Strong organizational skills
  • Demonstrated successful Executive Support experience preferred
  • Previous or current direct report management experience
  • Strong written and verbal communication skills
  • Participation and Leadership Requirements:
  • Attend all Professional Development Team meetings  - one Professional Development Meeting per Quarter – Evening or Weekend Day
  • Attend each “All Volunteer Leader” team meetings as scheduled by the chapter
  • Participate in networking and PDM meetings throughout the year (not all but a minimum combination of 6 per year)

Deliverables

  • Oversees the accurate maintenance of Professional Development Calendar entries, proactively handle discrepancies or late calendar entries
  • Once per month create a Bulletin entry involving department activities / updates
  • Completes a monthly status report for the team and the Chapter Board for the prior month no later than the Friday at the end of the first week of the new month. 

PDUs: Up to 45 PDUs in a 3-year cycle (PMP, PgMP);

Maximum of 20 PDUs in a 3-year cycle (PMI-SP, PMI-RMP, PMI-Agile) (after 3 months service – 1 PDU per volunteer hour provided. Use Category E – Giving Back to the Profession)

External Relations - Director, Academic Outreach – Ambassador Programs

The PMI Phoenix Chapter External Relations Team supports the strategies and directives of the chapter by supporting The Board of Directors in outreach endeavors. The primary areas of outreach include Military, Academic, Corporate, Sponsor, and Community sectors. 

The Academic Outreach team promotes Project Management as a profession within the academic community. Our goal is to champion the development of PM knowledge and skills by facilitation PM programs in partnership with academic institutions

The Academic Outreach team is looking for a dynamic volunteer to help manage and coordinate student and teacher volunteers at local higher educational institutions in learning about project management, and promoting PMI.

The Ambassador Programs Director reports to the AVP of Academic Outreach under the umbrella of the External Relations team.

Roles and Responsibilities: 

The Ambassador Programs Director will be responsible for the following:  

  • Enhance professor & dean-level awareness about PMI, the Chapter, and its members
  • Establish  new ambassador programs within colleges and universities, leading School
  • Ambassadors for the chapter and support the needs of their fellow chapter members.
  • Maintain relationships with any existing Ambassador Programs, and associated schools
  • Give presentations to classes and students wanting to learn more about Project Management

The Community Outreach team is looking for a dynamic volunteer to help us connect with our diverse project management audiences, increase their representation within the profession, and recommend avenues to increase awareness, support, and cultural change within the Chapter. It should be known that PMI is a global organization; project managers can be of any age, race, gender, religion, ethnicity, ability, or sexual orientation.

The Director of Diversity & Inclusion reports to the AVP of Community Outreach under the umbrella of the External Relations team.

Roles and Responsibilities: 

The Director of Diversity & Inclusion will be responsible for the following:  

  • Coordinate and manage all Diversity & Inclusion Ambassadors
  • Identify who our diverse audiences are and how we can better serve them as project managers
  • Provide support opportunities for the Chapter to include them in activities and as volunteers to increase our overall diversity
  • Cultivate relationships with local and national organizations promoting diversity and inclusion on behalf of the chapter
  • Organize events or meetings to bring people together
  • Work with Marketing Team to coordinate promotion and promote inclusion, while showing the good work our chapter is doing.

The Community Outreach team is looking for a dynamic volunteer to help identify and organize fun recreation opportunities where the fun is the primary objective and not a biproduct of networking or education. This volunteer will manage and coordinate Event Volunteers during these opportunities.

The Director of Recreation reports to the AVP of Community Outreach under the umbrella of the External Relations team.

Roles and Responsibilities: 

The Director of Recreation will be responsible for the following:  

  • Coordinate and manage volunteer teams for events
  • Identify opportunities for Chapter Members to forget about project management for awhile and just have fun together
  • Discover some events that non-member friends and families can also participate in
  • Organize events behind the scenes; doing research, contacting vendors, scheduling & budgeting, determining success factors
  • Work with Marketing & Technology Team to coordinate promotion and to get more attendees

The Corpoarate Ambassador Program Director reports to the AVP of Corporate Outreach under the umbrella of the External Relations team.

Roles and Responsibilities: 

The Corpoarate Ambassador Program Director will be responsible for the following:  

  • Enhance business awareness about PMI, the Chapter, and its members
  • Establish  new ambassador programs within businesses and organizations, leading
  • Corporate Ambassadors for the chapter and support the needs of their fellow chapter members.
  • Maintain relationships with any existing Ambassador Programs, and associated businesses and organizations
  • Give presentations to companies and organizations wanting to learn more about Project Management

The  Corporate Relationship Management Director  reports to the AVP of Corporate Outreach under the umbrella of the External Relations team.

Roles and Responsibilities: 

The Corporate Relationship Management Director will be responsible for the following:  

  • Manage and coordinate the Managers facilitating the Communities Of Practice
  • Enhance awareness about PMI, the Chapter, and its members across industries such as Healthcare, Utilities, Construction, Technology, etc.
  • Establish new  Communities of Practice, through online or in-person industry groups on behalf of the chapter to support the needs of fellow chapter members
  • Maintain and build relationships with industries and industry groups after they have been established
  • Give presentations on bases to industry groups wanting to learn more about Project Management

Roles and Responsibilities: 

The Military E&C Director will be responsible for the following:  

  • Coordinate and manage volunteer mentors and instructors (Military Outreach Managers)

    Work with AVP of Military Outreach to identify E&C opportunities

    Take lead; plan and execute against those opportunities
  • Lead and train at PMP classes and other educations events (as needed)
  • Answer Ad Hoc inquiries from military members and veterans about how to pursue project management career goals
  • Work with Marketing and Technology Team to coordinate website and newsletter blurbs announcements regarding upcoming opportunities
  • Ensure mentor program through partner is operational and promoted

The Military G&OE Director will be responsible for the following:  

  • Coordinate and manage event volunteers (Military Outreach Managers)
  • Work with AVP of Military Outreach to identify event opportunities, such as military charity runs or Veterans Day celebrations
  • Take lead; plan and execute against those opportunities
  • Work with Marketing and Technology Team to coordinate website and newsletter blurbs announcements regarding upcoming events.

The Military Outreach team is looking for a dynamic volunteer to help manage and coordinate base ambassadors at military bases, driving relationship cultivation and stewardship at bases, helping the local organizations in learning about project management, and promoting PMI.

The  Military Relationship Management Director  reports to the AVP of Military Outreach under the umbrella of the External Relations team.

Roles and Responsibilities: 

The Military Relationship Management Director will be responsible for the following:  

  • Enhance awareness about PMI, the Chapter, and its members across military bases and other military installations or units
  • Establish new base ambassador programs within military bases, leading Base Ambassadors for the chapter and support the needs of their fellow chapter members.

The Sponsorship team is looking for a dynamic volunteer to lead our efforts in stewarding and retaining sponsor revenue dollars through renewals; coordinating efforts of the Stewardship & Renewals Relationship Managers to maintain relationships and execute on existing agreements.

The Director of Stewardship & Renewals reports to the AVP of Sponsorship under the umbrella of the External Relations team.

Roles and Responsibilities: 

The Director of Stewardship & Renewals will be responsible for the following:  

  • Further develop  Sponsorship  strategy to tactical stewarships level
  • Manage and coordinate  the Stewardship & Renewals Relationship Managers
  • Maintain existing sponsor contact lists and agreements with sponsors and partners
  • Assist in the further cultivation of relationships with continuing chapter corporate sponsors
  • Develop relationships for in-kind/barter partners and leveling up sponsors
  • Ensure that we are executing to sponsorship agreements for sponsors
  • Ensure soft transfers of new sponsors from the Acquisitions team to the Stewardship & Renewals team
  • Work with Marketing and Technology teams to coordinate sponsorship execution
  • Send out thank you notes to renewing sponsors

The Sponsorship team drives Project Management promotion within the Phoenix Chapter by connecting with sponsors, maintaining sponsor relationships, and raising revenue to support ongoing chapter activities.

The Sponsorship team is looking for a dynamic volunteer to contact, negotiate, and follow-through to agreement with potential new sponsors and partners.

The Acquisitions Relationship Manager reports to the Director of Acquisitions under the umbrella of the External Relations team.

Roles and Responsibilities: 

The Acquisitions Relationship Manager will be responsible for the following:  

  • Coordinating with Director of Acquisitions  to help identify new potential sponsors
  • Reach out and solicit new potential chapter sponsors and partners
  • Follow-up with interested companies by phone first, and email second
  • Obtain completed sponsorship agreements from corporate sponsors.
  • Provide operational support and management of sponsors.
  • Collect collateral needed from sponsors (corporate logos, ads for PMI Phoenix Chapter website and newsletter according to required specs, company information, slides, special events requirements, etc.)
  • Develop relationships for in-kind/barter partners
  • Ensure that we have received completed sponsorship agreements from sponsors
  • Work with Marketing and Technology teams to coordinate sponsorship execution
  • Send out thank you notes to new sponsors 

Additional Responsibilities:

  • Provide monthly status reports
  • Attend team meetings as appropriate

  • Obtain completed sponsorship agreements from renewing sponsors
  • Provide operational support and management of sponsors.
  • Help verify that we are meeting the terms for sponsorship agreements throughout the term of an agreement

  • Send out thank you notes to existing and renewing sponsors

The Chapter Photographer is responsible for reporting on the Chapter’s events through photography and video recording. This position will report to the Director of Publications and will support the Marketing team.

Essential Duties and Responsibilities:

  • Attend Chapter meetings, networking events and other Chapter meetings and take representative photographs.
  • Obtain prior permission from speakers and ensure that a photography release form is signed.
  • Photograph Volunteer of the Month recipients.
  • Attend Networking events and take representative photographs.
  • Maintain log of photographs to include date, event, and description, including full names and titles, where appropriate.
  • Employ photo-editing software such as PhotoShop as necessary.
  • Upload pictures to SharePoint or Designated photo platform per process instructed.
  • Work with other Team members to utilize the photographs on the website, in Social Media, and in publications such as the weekly bulletin or quarterly newsletter, as desired.
  • Attend monthly Team meetings and Sub-Team meetings.

The role will report to Marketing, but will collaborate with Technology (our Communications team) and Operations to drive analytic decisions.

The role will report to Marketing, but will collaborate with other teams to develop and validate content.

Position Requirements:

  • Project management experience. 
  • Demonstrated creativity in writing for multiple digital and print vehicles, and adapting content to suit the strengths of each platform.
  • Craft authentic copy that tells our brand story with personality and purpose.

  • Oversee the creation and publishing of the quarterly newsletter for the PMI Phoenix Chapter.

Social Media Role Overview

This position will be responsible for managing, building and supporting the Social Media Directors of the PMI Phoenix Chapter’s online accounts.  PMI Phoenix Chapter (#PHXPMI @PHXPMI) has social media accounts currently on; Hootsuite, Twitter, Facebook page, LinkedIn company page, chapter group and chapter job fair group, and Instagram with potential to grow to other outlets when the Chapter expands its reach. The Social Media Manager will oversee the activities on the assigned channel. Responsibilities include items like keeping the account(s) up-to-date with the Chapter’s news and events and/or moderation of member activity. This position will work with the other members of the Social Media and MarComm team to coordinate and support online promotions and social media campaigns that increase awareness about the Chapter within the local communities. The Social Media Manager will ensure that the content and the voice of the Chapter’s accounts are consistent with both PMI and the PMI Phoenix Chapter’s brands and represent the chapter in its best interest.

Social Media Managers Report to the Director of Social Media and the AVP of Marketing.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

  • Acts as the voice of the chapter on assigned social media channel(s)
  • Monitors user / follower communications, and respond in a helpful, positive manner consistent with the PMI brand

Job Description

The Membership Team is responsible for providing the strategy to define and deliver value and consistent high-quality membership experience for all chapter members. The Membership Services Team is responsible for attracting, engaging, and retaining new and renewing chapter members. 

The Director of Member Recognition will be responsible for overseeing the Monthly Membership Milestone Awards process to ensure that we maintain quality, responsiveness, and integrity of our operations and databases. This position reports to the AVP Membership Serices.

Responsibilities

  • Represent the Membership Recognition Team in Chapter meetings by communicating, supporting and promoting the activities of team to rest of the Chapter.
  • Provide and/or present executive reports, as needed by the Chapter, to allow the Chapter to asses the current volunteer activity level, future volunteer needs, priorities of open positions, performance of volunteers and the overall performance of Membership Recognition Team.
  • Work with the VP and AVP of Membership to ensure Membership Recognition activities are in alignment with the overall charter and goals of the PMI Phoenix Chapter as well as fulfilling the three R’s of Membership Team:  Recruitment, Retention & Re-Engagement
  • Participate in Membership Team Meetings and engage in activities related to the 3 R’s
  • Take on a champion role in Process Improvements regarding Membership Recognition (identifying gaps, recommending changes, and following through with solutions).
  • Document experiences and findings in Lessons Learned
  • Serve as Point-Of-Contact for assistance in all matters (technical, procedural, ethical, etc.) within the Membership Recognition

Overview

The Membership Team is responsible for providing the strategy to define and deliver value and consistent high-quality membership experience for all chapter members. The Membership Services Team is responsible for attracting, engaging, and retaining new and renewing chapter members. They provide support and outreach for our members through the Ambassador Program and career support through the Career Resources Program. 

The Volunteer Services Team provides is responsible recruiting and placing qualified volunteers on all teams, conducting volunteer orientation, defining and executing growth and development strategies as well as manage the Volunteer and Member Recognition Program.

The Manager of Volunteer Services also helps the team plan, develop, and implement volunteer recruitment and staffing strategies to support the PMI Phoenix Chapter business operations objectives, while the same time foster the spirit of the Chapter culture by assisting members to attain their personal volunteering goals. The team of Managers of Volunteer Services report to the Director of Volunteers Services.

Duties include:

  • Provide a high level of customer service in consulting with and guiding leaders with volunteer opportunities, policies, and processes.
  • Provide a high level of customer service in communication with volunteer opportunity applicants.
  • Work leaders and volunteers to ensure compliance with chapter on-boarding policy.
  • Collaborate with other Volunteer Services and Membership team members to help create “best of” practices and programs to ensure volunteer corps and chapter growth.

The goal of the Membership Ambassador Program is to help assimilate new members into the organization and ensure that each new member receives the most value possible from their PMI Phoenix Chapter membership. The ultimate goal of the ambassador program is to ensure that members continue their membership in PMI Phoenix and help build the organization by bringing in new members.

The Membership Ambassador is a representative at the chapter level that serves as a liaison between members and the chapter. The ambassador strives to strengthen the connection with new members and first-year members to create welcoming environments and orient this membership segment. A Membership Ambassador is someone who strives to help others feel comfortable, enjoys sharing and gaining knowledge, and understands and embraces the value of belonging.

Roles and Responsibilities:

Membership Ambassador team members helps foster and build chapter spirit and community through one or more of the following roles as interest and as schedule permits:

  • Contacts all new chapter members/ and renewing chapter members to welcome them to chapter and personally invite them to monthly new member orientation and/or other chapter events
  • Attends or facilitates monthly new member orientation meetings and/or evening chapter meetings to help welcome arriving new members, current members, and guests
  • Acts a point of contact for member and non-member questions about the chapter and its member services, programs and services, and benefits
  • Coordinates connections with other members, volunteers, and leaders to create networking opportunities
  • Attends chapter or other networking events and collects any prospective new, past chapter member leads, or under-engaged members to team leaders to ensure a follow up is scheduled.

Membership - Virtual Orientation Facilitators

Overview

The Membership Team is responsible for providing the strategy to define and deliver value and consistent high-quality membership experience for all chapter members. The Membership Services Team is responsible for attracting, engaging, and retaining new and renewing chapter members. They provide support and outreach for our members through the Ambassador Program and career support through the Career Resources Program. 

The Volunteer Services Team provides is responsible recruiting and placing qualified volunteers on all teams (Volunteer Recruiting Team), conducting volunteer orientation (Volunteer Management Team), defining and executing growth and development strategies (Volunteer Development Team) as well as manage the Volunteer Recognition Program (Volunteer Recognition Team) 

Virtual Orientation Facilitators help new chapter volunteers 'hit the ground running' by providing monthly new volunteer orientations sessions through an online meeting tool. Looking for friendly, professional, and knowledgable volunteers to join this effort. A GREAT way to meet other members!! Join the Volunteer Management Team!

Duties include:

  • Be part of team that runs monthly 1-hour new virtual new volunteer orientation sessions first Wednesday evenings per month or for special scheduled sessions.
  • Provide a high level of customer service to new volunteers by providing them needed information to help them be successful in their new roles.
  • Follow up with team lead providing session attendance, high level notes including any specific unanswered questions needing follow up.
  • Help grow the development of new volunteer training, leadership development, and succession training programs

Professional Development - Manager Credential Study Group

Overview: 

The PMI Phoenix Chapter Professional Development Team supports the directives and goals of the chapter by supporting education opportunities via Classes and Workshops in order to continue attendees’ knowledge base in the areas of Project Management Certified disciplines, as well as to make available opportunities for certified members to keep their certification current.  The Manager Credential Study Group assists with the PMP Study groups which take place at various locations around the valley.

The Manager Credential Study Group reports to the Director Credential Study Group.  In the absence of a Director, the position will report to the AVP or VP  of Professional Development Team.

Roles and Responsibilities: 

  • Participates on PMP Credential Study Group Team to expound on material from PMI Phoenix Chapter curriculum.
  • Participates in chapter retention initiatives by providing regular, accurate, and timely feedback to attendees and the chapter concerning academics, behavior, attendance, etc.
  • Helps organize workshop logistics and record-keeping.
  • Maintains expertise in subject area and recommends improvements in curriculum design.
  • Arrive early for workshops, adhere with presentation schedule, and stay afterward to answer questions
  • Appear professional in dress and manner
  • Share the mission of the chapter.

Requirements:

  • Self-Starter -  Ability and desire to work and lead independently with minimal supervision, proven initiative skills
  • Strong organizational skills
  • Be familiar with the PMBOK competencies and know-how to utilize them when designing workshops

Overview: 

Plan and Execute annual elections cycle for board of directors

Roles and Responsibilities:

Direct the elections project for the 2020-2022 Election Cycle for the Phoenix PMI Chapter

Coordinate nominations committee during the pre-elections cycle

Maintain the SharePoint document library for elections related material

Manage communication with the nominations committee, operations team, and PMI global

Provide updates for VP of Operation

Train a second

Requirements:

Knowledge or willingness to learn MS Powerpoint, Excel, Visio, Word.

Experience with MS Sharepoint and virtual conferencing

Strong written and verbal communication skills

Strong customer service skills and volunteer service focus

PDUs: Up to 10 PDUs/year (12 months service – 10 PDUs, 6+ months service – 5 PDUs, 3+ months service – 3 PDU)

Technology - Webmaster

Overview:

The PMI Phoenix Chapter Communications Team supports the external communications to our

Chapter members based on internal requests from our internal Teams and Volunteers. The Communications Team also supports the internal Teams and Volunteers technical tools (e.g. Website, SharePoint, Social Media, Newsletter and Bulletin).

The Webmaster reports to the AVP of Technology who reports to the VP-Communications who works directly for the President.

Roles and Responsibilities:

The Webmaster will be responsible for maintaining the Chapter’s website (http://phx-pmi.org) ensuring the continual correctness, completeness and timeliness of information of the site. The Webmaster will champion the effective use of the chapter website to enhance communications between the Internal Teams and Volunteers and its external users/visitors.

This includes but is not limited to the following:

  • Creates, gains approval for and maintains guidelines for the look and feel of the chapter website.
  • Works closely with other internal Teams and Volunteers that interactive web applications and web-based processes work correctly.
  • Fields, responds to and troubleshoots requests sent through appropriate channels relating to chapter website. The requests can come from internal as well as external website users.
  • Works with web representatives (e.g. Proteon) to collaborate on requests from internal and external website users.
  • Continually attends/completes training offered through website vendor (e.g. Proteon) in an effort to maintain the most up to date knowledge of website and administrative tools needed to maintain chapter website
  • Monitor webpages and links within website to maintain accuracy and proper accessibility to external sites.
  • Troubleshoot and assist with website member security and login issues.
  • Maintains and reports on web usage and access statistics as needed.

  • Master on updated applications/processes as communicated by Internal Teams and external vendor (e.g. Proteon).
